- PENPAL: PEN PAL is one of the easiest to use MAIL LIST MANAGEMENT,
- BLACK BOOK, and LETTER WRITTER systems available. In addition to the
- being able to maintain your name and address files and print labels
- (any size) other features are provided that make it a valuable tool
- for your office. These features are:
- 1) Ability to code your address records for selective listings.
- 2) Ability to identify address record as being a business, or an
- individual.
- 3) For business accounts you can identify the name of the person
- to contact, for individuals you can setup the salutation for
- letters.
- 4) Search by ID., last name, or first name, using only the first
- few letters of the name.
- 5) Print any size of one up label (can also be used for
- addressing continuous envelope forms), print any number of
- return address labels.
- 6) Print either of two sizes of ROLODEX cards, print new cards
- only for address records that have been updated from a given
- date.
- 7) Print addresses on standard office envelopes - just insert an
- envelope into your printer, press a key, address is printed
- and envelope is ejected making printer ready for next
- envelope.
- 8) Print selective listings of addresses (or only names).
- 9) Build extract files (two formats available) for word
- processing interfacing.
- 10) Setup your printer for compressed / normal print size, and
- eight / six line per inch vertical form control.
- 11) Depending upon the printer format codes you have set up you
- can have one of four BLACK BOOK formats printed from your
- address list.
- 12) You can setup up to 99 standard letter formats. You can
- select addresses from your address file and print letters,
- using these letter formats, without having to type them
- individually. Using the same selection requirements you can
- then either select labels or address envelopes.

- Follow the instructions outlined in the 'README.1ST' file.

- SYSTEM INITIALIZATION:
- -----------------------

- Make the directory that you loaded 'PENPAL.EXE' program module in your
- current directory.
-
- Enter: PENPAL <return>
-
- The first time that you load 'PENPAL.EXE' you are provided the
- opportunity to identify the disk drive your data files will reside
- on and to personalize you system. You do this by entering your
- name/business name into the field for screen/report header (the
- system will center it for you). Next you will be asked to enter
- the codes necessary to control your printer for both
- compressed/normal print and 6 or 8 vertical lines forms control.
- You will need to look up these codes in your printer user
- manual. These codes are entered, in decimal value, one character
- at a time with each code group terminated with a blank entry.
- For most printers the following codes will work:

- Compress/normal print codes (default for most printers):

- If you do not want to setup these codes at this time just press
- <return> for each request. These codes can be setup later by use
- of the 'UTILITIES' sub function within 'PENPAL'. Upon completion
- of your system initialization a '*.MEM' file is created that
- contains your personalization and also signifies that your system
- has been initialized. You are now ready to use your system.

- SYSTEM NORMAL USE:
- ------------------

- Make the directory that you loaded 'PENPAL.EXE' program module in
- your current directory.
-
- Enter: PENPAL <return>
-
- Select from the menu the function you wish to perform.
-
- MAINTENANCE:
- ------------
- This set of functions allow you to search for specific address
- records by ID., first or last name, and to perform the
- maintenance functions of add new, change, and delete.
-
- 'F2' Search routine: when you request this function you will be
- requested to enter that portion of the ID., or name, you wish to
- find a match on. If you wish to start at the top of the file
- just press <return>, otherwise enter the ID number, or only as
- many characters of the name as you wish to search with. The
- system will then locate those names that match (or follow) the
- search key.

- a) If you wish the system to assign your id numbers just press
- the <return> key for ID number. If you enter an ID number you
- do not have to enter the leading zeros.
-
- b) You must identify the address record as being either a
- (B)usiness or for an (I)ndividual. Individuals will have their
- last name isolated for sequencing by last name, businesses do
- not. If you wish to terminate an add new request just press
- <return> for this field.

- c) The code field is optional and is provided so that you can
- group your addresses for special selection.
-
- d) The 'PREFIX' field is for titles such as 'Mr., Mrs, The, etc'
- that are needed for the name line of the address and do not
- affect sequencing.
-
- e) The name field should be filled just as you wish the name to
- be printed. The only exception to this is for names having 'Jr.,
- Sr., etc' appended to the end of the name. DO NOT SEPERATE THESE
- SUFIX'S FROM THE LAST NAME WITH A SPACE, USE A ',', OTHERWISE
- THEY WILL BE IN LAST NAME SEQUENCE BY 'Jr., etc'. (Example: John
- Adams,Jr.)

- f) All other fields are optional.

- LABELS:
- -------
- With this function you can address almost any size one-up label.
- You can select addresses by various sequences and ranges, or you
- can manually setup a label to be printed 'n' number of times.
- (If you wish to address envelopes using the continuous form
- envelopes use this function.) Remember that all measurements for
- label size and address positioning are affected by the
- compress/normal and 6/8 lines per inch print control features.

- ROLODEX CARDS:
- --------------
- With this function you can create rolodex cards from your address
- file. You have the same sequence and seletion capabilities as
- with label with the added feature of selection by last
- maintenance date. With this last feature you can easily maintain
- your card files.

- ENVELOPES:
- ----------
- With this function you can print addresses directly on your
- standard office envelopes. (If you are using the continuous form
- envelopes use the label print routine.) Just identify the
- sequence and selection range you wish to print envelopes for and
- start loading envelopes into your printer - one at a time. The
- system will pause for each envelope to allow you to set it up in
- your printer and after printing will eject it so that you can
- load the next envelope. (Remember that your compress/normal and
- 6/8 line per inch printer control codes affect all positioning of
- your address on the envelopes.)

- WORD PROCESSING INTERFACE:

- With this function you can extract address information to be
- passed to your word processor. You have the same sequence and
- selection capabilities as for labels. All information selected
- will be in the sequence shown on the screen. You have two formats
- to select in:
- a) dBASE comma delimited, and
- b) one field per line
- These two selection output formats are acceptable to most word
- processing programs.

- ADDRESS LISTINGS:

- With this function you can create listings of addresses in
- various formats. You have the save sequence and selection
- capabilities as for labels.

- BLACK BOOK:
- -----------
- Depending upon the printer format control codes you have setup
- you have one of four possible formats for printing a BLACK BOOK
- for your addresses. These formats are as follows:
